Sync your TaskCalendars events with your favorite calendar applications using iCal feeds.
What is iCal?
iCal (iCalendar) is a universal calendar format supported by virtually all calendar applications. TaskCalendars provides an iCal feed URL that you can subscribe to in Outlook, Google Calendar, Apple Calendar, and other apps.
Setting Up Your Calendar Feed
Step 1: Configure Your Feed
- Click your profile icon in the lower left corner
- Select App Settings
- Scroll to the Calendar Sync (iCalendar) section
Step 2: Choose Your Options
Configure how your feed works:

Filter Preset - By default, your feed includes all tasks you have access to. Select a filter preset to limit which tasks appear in your external calendar.

Include completed tasks - Check this box if you want completed tasks to appear in your calendar feed.

Months ahead to include - Choose how many months of future tasks to include (1-24 months).
Step 3: Create a Filter Preset (Optional)
To create a filter preset for your calendar feed:
- Go to the Calendar or Kanban view
- Use the filter panel to select specific calendars, tags, and labels
- Click the bookmark icon to save your filters as a preset
- Return to App Settings and select your preset
Step 4: Get Your Feed URL
After configuring your options, you’ll see your Calendar Feed URL. You have two ways to add it:
- Quick add: Click “Add to Calendar” to open your default calendar app automatically
- Manual: Click “Copy URL” to copy the feed URL, then paste it in your calendar app
Important: Your feed URL is private and unique to you. Don’t share it publicly as it provides access to your calendar data.
Adding to Microsoft Outlook
Outlook Desktop (Windows/Mac)
- Open Outlook and go to Calendar
- Click Add Calendar > From Internet
- Paste your feed URL
- Click OK to subscribe
Outlook Web (outlook.com)
- Go to outlook.com and sign in
- Click the Calendar icon in the left sidebar
- Click Add calendar > Subscribe from web
- Paste your feed URL
- Name your calendar and choose a color
- Click Import
Outlook Mobile App
- Open the Outlook app on your phone
- Tap your profile icon > Settings
- Scroll to Calendar Accounts > Add Account
- Select Add Shared Calendar
- Enter your feed URL
Adding to Google Calendar
Google Calendar Web
- Go to calendar.google.com
- On the left sidebar, find Other calendars
- Click the + icon > From URL
- Paste your feed URL
- Click Add calendar
- Your events will sync within a few hours
Google Calendar Mobile App
The mobile app doesn’t support adding iCal feeds directly. Add the calendar via the web interface, and it will automatically appear on your mobile device.
Adding to Apple Calendar
macOS
- Open the Calendar app
- Go to File > New Calendar Subscription
- Paste your feed URL
- Click Subscribe
- Configure refresh frequency and alerts
- Click OK
iOS (iPhone/iPad)
- Open Settings > Calendar > Accounts
- Tap Add Account > Other
- Tap Add Subscribed Calendar
- Paste your feed URL
- Tap Next and configure settings
- Tap Save
Adding to Other Applications
Mozilla Thunderbird
- Open Thunderbird and go to Calendar
- Right-click in the calendar list > New Calendar
- Select On the Network > Next
- Choose iCalendar (ICS) format
- Paste your feed URL
- Click Next and name your calendar
Samsung Calendar
- Open the Calendar app
- Tap the menu icon > Manage calendars
- Tap Add account or the + icon
- Select Add ICS calendar or Subscribe
- Paste your feed URL
Fantastical
- Open Fantastical preferences
- Go to Accounts > +
- Select Calendar Subscription
- Paste your feed URL
- Click Add
Sync Settings
Refresh Frequency
External calendars typically sync on a schedule:
- Google Calendar: Every 12-24 hours
- Apple Calendar: Configurable (5 min to daily)
- Outlook: Every 3-24 hours
For more frequent updates, check your calendar app’s sync settings.
One-Way Sync
iCal feeds are read-only. Changes made in TaskCalendars will sync to your external calendar, but changes made in your external calendar will not sync back to TaskCalendars.
Troubleshooting
Events Not Appearing
- Wait a few hours for the initial sync to complete
- Try removing and re-adding the calendar subscription
- Verify the feed URL is correct and accessible
- Check that your filter preset includes the tasks you expect
Duplicate Events
- Check if you’ve subscribed to the same calendar multiple times
- Remove duplicate subscriptions from your calendar app
Events Outdated
- Check your calendar app’s refresh settings
- Manually refresh the calendar subscription
- Some apps have a minimum refresh interval
URL Not Working
- Ensure you copied the complete URL
- Check your TaskCalendars account is active
- Return to App Settings to verify your feed URL
Security Best Practices
- Keep your feed URL private - Anyone with the URL can view your calendar
- Use filter presets - Limit exposed data by only including necessary tasks
- Use HTTPS - The feed URL always uses secure HTTPS connections
